Privacy Policy

About This Policy

Sunx Data Research (“we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices and rights you have.

It applies to visitors to our website and to clients and prospective clients who contact us or use our services. We handle personal information in line with the Privacy Act 1988 (Australia), including the Australian Privacy Principles, and the Privacy Act 2020 (New Zealand), including the Information Privacy Principles.

By using our website or contacting us, you acknowledge this policy. If you don’t agree with it, please don’t submit personal information to us.

Our work spans quantitative business research, macroeconomic research, data analytics, data science, econometric modelling, and mathematical and statistical modelling. What connects them is a simple belief: good decisions come from good evidence, honestly presented.

We deliver everything remotely, which means we can work with clients across both countries without location getting in the way. The people you speak to at the start are the people who do the work, so you’re never passed between departments or handed a generic report.

What Personal Information We Collect

We aim to collect only what we need. Depending on how you deal with us, this may include:

Information you give us directly

  • your name, email address and phone number
  • your organisation and whether it is in the private or public sector
  • the service you’re interested in
  • the details you include in your enquiry or in emails and calls with us
  • billing and payment details when you engage us

Information collected automatically when you visit our website

  • your IP address, browser type, device and operating system
  • the pages you visit, how long you stay and how you arrived at the site
  • cookie and similar technology data (see section 8)

Information in client data

Some projects involve datasets that contain personal information, such as survey responses or customer records. Section 6 explains how we handle that information.

We don’t knowingly collect personal information from children, and our services are directed at organisations, not individuals under 18. We also don’t ask for sensitive information (such as health or political opinions) through our website, and we ask that you don’t include any in your enquiry.

How We Collect Personal Information

We collect personal information when you:

  • submit our enquiry form
  • email or phone us
  • engage us for a project and provide information for it
  • visit our website, through cookies and analytics tools

Where possible, we collect information directly from you. If we collect it from someone else, such as your organisation, we will take reasonable steps to make sure you know about it.

Why We Collect and Use Personal Information

We use personal information to:

  • respond to your enquiry and send an automatic confirmation email
  • prepare Proposals, deliver services and manage our relationship with you
  • invoice you and process payments
  • communicate with you about your project
  • keep our website secure, working properly and improving
  • meet our legal, tax and accounting obligations
  • send you information about our services, but only if you have agreed and only until you opt out

We won’t use your personal information for a purpose that is unrelated to those above unless you consent or the law allows it.

Who We Share Personal Information With

We don’t sell your personal information. We only share it where necessary:

  • Service providers who help us run our business, such as website hosting, email, cloud storage, form handling, analytics, accounting and payment providers. They may only use the information to provide their service to us.
  • Subcontractors who help deliver a project, who are bound by confidentiality obligations.
  • Professional advisers, such as accountants and lawyers.
  • Authorities, where the law requires or authorises us to disclose information.
  • Others, with your consent.

Personal Information in Client Projects

When a project involves datasets containing personal information, we treat it as confidential and use it only to deliver the agreed work.

Before we begin, we discuss with you the safest way to handle it, including whether it can be de-identified or anonymised first. We ask you to confirm you are entitled to share it with us and, where required, that you have obtained the necessary consents.

We keep project data only as long as needed for the project. At the end of the project, we return or securely delete it within 30 days of your written request, unless the law requires us to keep it. Our Terms & Conditions set out the confidentiality obligations that apply.

In these cases, you remain responsible for the personal information you provide, and we act on your instructions in handling it.

Overseas Disclosure

Some of our service providers, such as cloud hosting, email or analytics providers, may store or process information outside Australia and New Zealand, including in countries such as the United States. Where this happens, we take reasonable steps to make sure the provider handles your information in a way that is consistent with the privacy laws that apply to us.

By submitting your information to us, you understand that it may be handled in this way.

Cookies and Analytics

Our website uses cookies, which are small files stored on your device. They help the site work properly, remember your preferences and show us how visitors use it so we can improve it. We may also use analytics tools that collect anonymous or aggregated usage information.

You can control or delete cookies through your browser settings. Blocking some cookies may affect how parts of the website work. Cookies and analytics tools may collect information such as your IP address and browsing behaviour.

How We Protect Your Information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These include:

  • restricting access to people who need it
  • using secure, password-protected systems
  • using secure methods to receive and store client data
  • requiring service providers and subcontractors to protect the information they handle

No method of transmission over the internet or electronic storage is completely secure, so we can’t guarantee absolute security.

Data breaches. If a breach is likely to result in serious harm to you, we will notify you and the relevant regulator as required by the Notifiable Data Breaches scheme in Australia and the notifiable privacy breach rules in New Zealand.

How Long We Keep Information

We keep personal information only for as long as we need it for the purposes in this policy or as the law requires. As a general guide:

  • Enquiries that don’t lead to a project: up to 2 years
  • Client records, contracts and invoices: 7 years, to meet tax and accounting obligations
  • Project data: returned or securely deleted within 30 days of your written request, as set out in section 6

When we no longer need personal information, we securely delete or de-identify it.

Your Rights

You can ask us to:

  • give you access to the personal information we hold about you
  • correct information that is inaccurate, out of date or incomplete
  • delete your information, where we no longer need it and the law allows
  • stop sending you marketing at any time, by using the unsubscribe link or emailing us

To make a request, email admin@sunxdataresearch.com. We may need to verify your identity first. We will respond within a reasonable period, usually within 30 days. If we can’t give you access or make a correction, we will explain why in writing, unless the law prevents us.
